Assessment

We run a read-only assessment of every record in your database to identify gaps, duplications and inconsistencies. Nothing is changed at this stage.

Step 2

Approval

You receive a clear data health report showing all critical data gaps, inconsistencies or areas that require standardisation. You stay in control: approve what proceeds and reject anything that doesn’t.

Step 3

Activation

We implement the approved changes and code your data up into a clean, consistent structure. Every update is tracked, giving you full visibility and control. All changes are reversible within 30 days.

Monthly maintenance

Data decays. New records are added every week and without regular maintenance, the same gaps build up again. We run a monthly check to process all new entries, catch new inconsistencies, and keep your health score moving in the right direction.

Standardised within your existing taxonomy. We conduct a pre-assessment scan of how your team codes job titles and align our output to match.
Skills & industry
Skills extracted from CV content and coded against your existing CRM skill tags. Industry sector assigned from work history and job titles.

Phone numbers standardised to the correct national format. Missing postcodes resolved by suburb lookup. Email addresses validated.
Duplicate detection
Candidates appearing under multiple records identified. A merge plan is presented for your approval. Never auto-executed.
Qualifications & credentials
Every qualification, ticket, certification and credential on the CV — extracted, coded to the right CRM field, and tracked with expiry dates. Where industry registers exist (training.gov.au, ASIC, AHPRA, and others), we verify against them so only current credentials are written back to your database.
Licences & registrations
Trade licences, professional registrations, industry certifications, and compliance documents. Verified against the relevant register where one exists.

Only what you authorise

We only access the data you explicitly grant us via OAuth. Everything outside that scope, including commercial data, financial records, and anything you haven’t approved, is invisible to us.

Your data stays yours

No copies of your database are stored. Your data is never shared with third parties. All connections are encrypted and secured. A full audit trail is available on request.
